Please Excuse the Mess...

The other day I saw a small white-stained wooden sign that struck me with a certain curiosity. In bold black print it said; “Please excuse the mess, but we actually live here.” After the chuckle of dry humor, it became clear that maybe sometimes it’s okay to have a home that looks a little lived-in; it adds a personality as it combines everyone who lives there into one area, a quaint ideology of how people actually live in a modern society.

But then again some weeks you just run out of time. The dishwasher is still full, the living room is a bit disheveled, and yesterday’s socks haven’t quite found their way to the hamper.  So when getting ready in the morning, it becomes a bleak game of hide and seek with the normal items like your phone, keys, wallet, and favorite pair of pants that you know you just had washed.

We’ve found that proposal writers know this feeling all too well. The numbers they just had in their head for a RFP seem to have moved from where they last saw them, the formatted template is no longer up-to-date, and the SME’s already answered this question last week. And just like a home, information will become scattered around and grow into a mess if they aren’t constantly being watched. So where does all of this information that you know you had disappear to? We don’t quite have the answer to where missing data goes to, but we do have the answer to keeping that data in line.

By using the content library you’re not just storing information on a bookshelf, but within a smart system. It’s difficult to keep a house organized and clean when people organize everything in a different way, let alone produce a successful proposal with multiple writers, project managers, and RFP coordinators. The cloud-capable library allows everyone to access the same information with the same guidelines, so all final documents can be presented neat and clean with a unified brand image. Doing this will ensure consistent quality in the data and although allowing for creativity in the creation of documents, the templates will make sure that there is a central design which each item will adhere to and everyone will know exactly where the data they need is.

In addition to the library, content analytics allows for a deep insight into the content of the assets which you’ve created. In the house of proposals, it will track the usage of each piece of content and keep it at-the-ready. So by keeping your favorite shirt in a single familiar place, you’ll never be scrambling to make sure it’s clean before you put it on.  You not only get the ability to track popularity and usage of content assets, but also cross-correlate data with Salesforce.com for insights into key performance metrics, allowing you to make better decisions faster. It’s as if that favorite shirt could tell you if people actually like the Hawaiian print as much as you do. Maybe just save it for Fridays.

Whether you’re a part of a new company or an old one, each and every one is fueled by data. To be a successful company, that data must be organized and utilized efficiently enough to keep current customers engaged, get new ones interested, and not keep the workers at their computers until 10 PM. It’s a delicate balance for everyone involved, just like keeping the house clean; Qvidian is the extra 10 hands you need to make that sign saying, “Please excuse the mess . . .” just some irony to hang on the wall.
